Is this right for your event?

Kelp Forest coordinates professional interpreting teams for medical conferences and specialist meetings. We assess the scientific programme, language combinations and preparation materials, then select interpreters according to the expertise and availability the assignment requires.

A service shaped around your scientific programme

Send the congress programme, session topics, speaker details and languages. A plenary presentation, a technical workshop and a discussion panel may need different preparation and staffing. Parallel sessions must be assessed separately so that the interpreting team can cover the programme realistically.

Terminology with the right context

Slides, abstracts, relevant publications, product terminology and lists of acronyms help the team prepare. Explain your audience and the intended level of detail. Notify us about programme changes and provide any recordings or videos with speech in advance so their audio can be included in the technical plan.

Planning the room and the online audience

For simultaneous interpretation, we coordinate requirements for booths or remote working, microphones, receivers and language channels with the event team. Questions from the floor and remote speakers need to reach the interpreters clearly. A sound check and a named technical contact help resolve these details before the meeting.

Confidential materials and a defined scope

Share any restrictions on unpublished material, document circulation or recording at the briefing stage. Our coordination team reviews your enquiry and confirms the interpreters and preparation arrangements before booking. Tell us early if the assignment involves particularly narrow subject expertise or additional language combinations.

Who coordinates your assignment?

A named coordinator reviews your brief with the interpreting team and your event or technical contacts. Paula Manrique, conference interpreter and AIIC member, coordinates Kelp Forest’s professional network. We agree the language directions, specialist preparation, staffing and technical responsibilities in your proposal before booking.

Preparation, equipment and confidentiality

Share the agenda, slides and background material in time for preparation. We agree any confidentiality requirements, document-access restrictions and recording permissions at the briefing stage. Equipment and technical support are included only as specified in your quote. We do not publish client names or confidential assignment details as promotional references.

What do we need for your quote?

  • Programme, medical subject and session structure
  • Dates, timings, languages and participant numbers
  • Slides, abstracts, terminology and speaker information
  • Venue or platform, technical requirements and confidentiality

Provisional details are welcome. Tell us what is confirmed and what is still being decided; we will help define the remaining requirements.

What is the difference between simultaneous and consecutive interpretation?

In simultaneous interpretation, the interpreter speaks while the speaker continues, with a short delay. In consecutive interpretation, the speaker pauses for the interpreter to deliver the message. Simultaneous suits conferences and multilingual events; consecutive often suits smaller meetings, interviews, audits and visits.

Can you support online and hybrid meetings?

Yes. We coordinate remote simultaneous interpretation and hybrid setups, considering your platform, language channels, audio quality and participant locations. We recommend a technical check before the event.

What do you need to prepare a quote?

Send the date, timings and time zone, venue or online platform, languages, subject and approximate audience size. An agenda is useful, even in draft form. For translation, send the document, language combination and delivery deadline.

Why are there no client logos or named case studies?

Discretion is part of our service. We describe the kinds of work we do without using clients’ names to promote the business. Confidential meetings and documents deserve care before, during and after an assignment.
